How to Choose an Ergonomic Chair: 10-Point Checklist

Use this 10-point checklist to compare seat depth, height range, lumbar support, recline, armrests, casters, weight rating, and warranty.

Choosing an ergonomic chair starts with fit: seat depth, height range, lumbar contact and controls that work with your body and desk. This checklist explains the specifications to inspect and the adjustment order for a chair you already own, using OSHA and CCOHS workstation guidance.

Start with the measurement that cannot be adjusted

Seat pan depth is the specification to check first, because on most chairs it is fixed, and a pan that is too long for your thigh cannot be corrected afterwards.

OSHA’s computer workstation guidance sets the requirement plainly: the seat pan should support most of the thigh with no contact between the back of the knee and the front edge of the pan, and pan depth should be adjustable so that taller users are supported while shorter users can still sit with the back fully against the backrest. The shop-floor version of that, two to three finger widths of clearance behind the knee, is a rule of thumb rather than anything OSHA specifies, but it puts you in the right region. Too deep and the front edge presses into the soft tissue behind the knee. Too shallow and your weight concentrates on a smaller area of the pan.

Shorter sitters run into this constantly, because a large number of task chairs are built around a pan depth that assumes a taller femur. If a chair lists a single fixed seat depth and no slider, treat that number as a hard compatibility check, not a preference.

A sliding pan, sometimes sold as seat depth adjustment, removes the problem. It is the single feature most worth paying for if you are shorter or taller than average.

The seat height range, checked against your desk

Seat height is adjustable on essentially every task chair, but the range is not universal, and the bottom of the range is where people get caught.

The correct height is set from your keyboard, not the floor. OSHA’s guidance on working positions puts the forearms roughly parallel to the floor with the shoulders relaxed and the elbows close to the body. Set the chair to achieve that first, then look down at your feet.

If your feet then rest flat with the thighs roughly horizontal, the desk suits you. If they dangle, the desk is too high for your body and the fix is a lower desk or a footrest, not a lower chair. Dropping the seat to reach the floor just moves strain from the shoulders to the wrists.

Two failure cases to check for:

  • Minimum seat height too high. Common on gaming-style chairs and on some large task chairs. If a chair’s lowest position is above your target, you will never get your feet flat.
  • Maximum too low. Less common, but real for taller sitters, especially with a standing-capable desk left at a fixed high setting.

Lumbar support: adjustable in two axes, or it is decoration

Almost every chair claims lumbar support. The claims are close to meaningless without knowing what moves.

The support needs to meet the inward curve of your lower back, not your mid back and not your belt line. Since that curve sits at a different height on different bodies, height adjustment is the minimum useful specification. Depth adjustment, which controls how far the support presses forward, is the second, and it is what separates a chair you can tune from one you have to tolerate.

The specification tiers, in order of what they actually give you:

  1. Fixed contoured backrest. The curve is moulded in at one height. Works if your back happens to match it.
  2. Height-adjustable lumbar. You can move the support to your curve. This is the practical minimum for full-day sitting.
  3. Height and depth adjustable. You can also set how firmly it presses. Best case.
  4. A strap-on pillow. Not a specification. It moves when you move and it usually sits too high.

CCOHS makes the same point from the other direction: a chair is only ergonomic insofar as it can be adjusted to the person using it, which means the adjustments have to exist before the fit conversation can start.

Recline mechanism, and why tension matters more than lock positions

Product pages advertise the number of lock positions. The more useful specification is tension adjustment: how much force it takes to lean back.

Set correctly, you should be able to recline with light pressure and have the chair hold you where you stop. Tension set too high locks you upright, which is the posture most people bought the chair to escape. Static upright sitting is itself the problem: OSHA’s working-positions guidance states that working in the same posture or sitting still for prolonged periods is not healthy and that you should change working position frequently through the day, and CCOHS treats injuries from sitting for long periods as an occupational health issue in their own right.

So the question to ask about a mechanism is not how many positions it locks into, but whether the tension is adjustable across your body weight. A chair with a tension dial calibrated for a 200 lb sitter will feel like a wall to a 120 lb one.

Synchro-tilt mechanisms, where the backrest reclines further than the seat pan tilts, keep the thigh angle sane through the recline range. A simple tilt that rotates the whole assembly lifts your feet off the floor as you lean back.

Armrests: judge them by whether they let you reach the desk

Armrests exist to unload the shoulders when your hands are off the keyboard. Set so they just contact your forearms with the shoulders relaxed.

The specification that matters most is not the number of axes advertised. It is whether the armrests clear your desk. If they collide with the desk edge and stop you sitting close, the chair has made your reach worse, and sitting far back to accommodate armrests is a worse outcome than having no armrests at all. Height adjustment plus the ability to drop them fully out of the way handles more real situations than a 4D arm that cannot go low enough.

Width adjustment matters if the arms force your elbows out away from the body.

Base, casters and the floor you actually have

OSHA’s chair guidance asks for a strong, five-legged base, and that is the stability standard for task seating. Worth confirming rather than assuming on cheaper chairs, where four-leg and cross-shaped bases still turn up.

Casters are the specification people ignore and then regret. OSHA’s requirement is only that they suit the flooring at the workstation; the practical version is that hard casters are for carpet and soft or rubberised casters are for hard floors. Using the wrong pairing gives you either a chair that drifts away as you sit down or one that refuses to move. Casters are also the cheapest thing on the chair to replace, so a good chair with the wrong casters is not a reason to walk away.

Material: a thermal decision, not a quality one

Mesh distributes load across a tensioned span and moves air, which suits warm rooms and people who dislike heat build-up. Foam gives a more contained feel and can be shaped, but density and recovery vary enormously between products and foam compresses over years.

Neither is better in the abstract. The question that decides comfort is whether the front edge is soft enough not to create a pressure line under the thighs, and that is a function of the edge design rather than the material name.

Weight rating and warranty as durability proxies

You cannot inspect the internals of a chair from a product page. Two published numbers stand in for that.

Weight rating tells you what the cylinder, base and mechanism were engineered and tested against. Buying a chair rated close to your own weight puts every load-bearing part near its design limit for the life of the chair.

Warranty terms are more informative than the headline number. A 12-year warranty that covers the mechanism, cylinder and casters says something different from a 12-year warranty that covers the frame while excluding every wearing part. The exclusions are the specification.

The rest of the workstation

A chair cannot fix a desk that is the wrong height, and a good chair often exposes that problem rather than hiding it.

If your desk is too high and the chair is already at its correct setting, the desk is the thing that has to move. An adjustable frame such as the VIVO DESK-V102E lets you set desk height to your seated elbow rather than the other way round, which is the order the OSHA guidance implies.

And no chair removes the need to move. Once the shortlist is down to chairs that pass this, the ordering exercise gets much smaller, and it is the point where reviews become useful rather than noisy.

Fitting the chair to your body and your desk

Use this sequence after checking the specifications. It combines the fitting guide’s adjustment order with CCOHS chair-adjustment guidance. Follow your model’s manual for individual levers and locks.

  1. Seat height and work surface. At a fixed desk, place your hands at the keyboard and adjust for relaxed shoulders and supported forearms. Then check your feet. If they lose support, lower the work surface where possible or use a footrest. With an adjustable desk, begin with supported feet and bring the surface to your working height.
  2. Usable seat depth. Sit against the backrest and adjust the pan or backrest position until the front edge clears the knee crease while supporting the thighs. A fixed pan limits what this step can achieve; a lumbar control does not replace a missing depth adjustment.
  3. Lumbar height and pressure. Once the seat is set, place the support at the inward curve of the lower back. Use how to set lumbar support height and depth to distinguish height, depth and firmness controls.
  4. Recline tension. Follow the manual to set a manageable recline force and any travel limit. Check foot support and backrest contact through the intended range. An unlocked chair does not necessarily hold every angle; use only the positions its mechanism supports.
  5. Armrests. Start low and bring them toward your relaxed forearms without lifting your shoulders. Adjust width or pivot if available, then check clearance at the desk. Lower or remove obstructing arms only as the manufacturer permits.

Common errors are leaving the lumbar pad at its shipping position, adjusting arms before seat height, or locking in one working posture all day. Also check whether the casters match the floor; fit includes being able to approach the desk without uncontrolled rolling or resistance.
